Refund Policy
Scope
This policy applies to paid consulting engagements with Datarelaycore—including Crash Impact Assessments, Release Stability Briefings, Recovery Path Analysis, and Ongoing Impact Retainers. It does not cover third-party software licenses or tools you purchase separately.
Eligibility
Refunds are available when we cancel an engagement we cannot staff, when we fail to deliver the agreed written brief within the confirmed timeline for reasons solely within our control, or when work has not started and you cancel within the windows below.
Timeframes
- Before kickoff: Full refund if you cancel at least five business days before the agreed start date and no preparatory analysis has begun.
- After kickoff, before draft brief: Partial refund of unused fees after deducting discovery hours already worked, documented at our confirmed daily rate.
- After draft brief delivered: No refund for that engagement phase; remaining unused retainer months may be cancelled per the retainer rules below.
Full vs partial refunds
Full refunds return 100% of fees paid for the cancelled scope. Partial refunds equal fees paid minus completed work, non-refundable deposits where disclosed in the statement of work, and any prepaid third-party costs we incurred at your written request.
Non-refundable items
Completed briefings and delivered written reports are non-refundable. Deposits marked as non-refundable in a signed statement of work remain non-refundable. Hours already spent on data cleanup you requested beyond the original scope are non-refundable.
Retainers
Monthly retainers may be cancelled with ten business days’ written notice before the next billing month. The current month is not refunded once work for that month has started. Unused future months that were prepaid are refundable on a pro-rata basis.
Cancellation & rescheduling
You may reschedule a kickoff or briefing once at no charge with at least three business days’ notice. Later changes or no-shows for scheduled briefing calls may forfeit that session’s allocated hours. We will propose a new slot within ten business days when we must reschedule.
Work already started & materials
If analysis has begun, you remain responsible for fees covering completed stages. We do not sell physical products; “materials” means prepared templates or extracts created for your engagement, which remain billable once produced.
Refund process & timing
Email hello@datarelaycore.digital with your company name, engagement reference, and reason. We confirm eligibility within five business days. Approved refunds are returned by the original payment method within fourteen business days of approval.
Exceptions
If force majeure prevents delivery, we will reschedule or refund unused fees at your choice. Statutory rights under Thai consumer law, where applicable, are not limited by this policy.
